GoHighLevel Automation for Roofing Companies: The Playbook We Ran
Lead intake, follow-up, satellite roof measurement, AI-built proposals, and the pipeline, exactly as we built them for Good People Roofing.
- GoHighLevel is the right place for a roofing company's leads, texts, and notifications. It is the wrong place to measure a roof or write a three-option proposal.
- For Good People Roofing we kept the CRM for intake and follow-up triggers and built the rest: satellite measurement, inspections, an AI proposal builder, tracking, a command center, and a customer portal.
- The result was one system from first lead to finished roof, replacing text threads, a ladder, days of typing, and follow-up from memory.
What a roofing automation playbook has to cover
A roofing automation playbook has to cover five things: getting the lead in without re-typing, following up until someone signs, measuring the roof, producing the proposal, and knowing where every deal stands. GoHighLevel covers the first two well. The other three are the trade, and no general CRM knows the trade.
We use GoHighLevel. We also built a full operator platform around it for Good People Roofing because the CRM stopped at the edge of the roof. Here is how each piece ran.
Lead intake and follow-up
Intake: from ad to pre-filled job
Lead intake is automated when a lead from an ad or the website creates a CRM contact and that contact appears, pre-filled, inside the tool that quotes the job. At Good People Roofing this happens through a CRM webhook, so the rep opens a job with name, phone, and address already in place.
Before the build, leads lived in text threads and every one was re-typed by hand. The GoHighLevel side is simple: every form and ad integration writes to the CRM, and a workflow fires a webhook on contact creation. The other side is custom: a builder endpoint that receives the webhook and opens a job. The rep is one tap from measuring the roof. The job starts before the first call ends.
Follow-up that runs itself and stops itself
Follow-up is automated when the system, not the rep, remembers which proposals are unsigned and nudges them on a schedule that ends the moment a signature lands. At Good People Roofing, unsigned proposals are nudged automatically for 14 days and stop when someone signs.
The stop condition is the part most drips get wrong. A timer that keeps texting a homeowner who already signed is worse than silence. Our nudges read proposal status from the same database that records the signature, so there is no gap between "signed" and "stop." The command center then tells the team exactly what to do next: call now, nudge, or close, with one-tap automation and re-engagement built in.
Satellite roof measurement from an address
Satellite roof measurement lets a rep type an address and get the roof traced on live satellite imagery, with every facet and plane, pitch, and squares computed and editable on screen. It replaced an hour on a ladder with seconds from the truck, then a confirmation on-site.
This is where the playbook leaves GoHighLevel entirely. There is no CRM field for a roof plane. We built measurement into the same platform that received the lead, so the address from the webhook is the address the rep measures. The rep adjusts the aerial estimate in seconds and confirms it during a structured on-site inspection, where photos, findings, and status are saved, searchable, and one click from becoming a proposal.
We cover the measurement layer on its own at roof measurement software.
AI-built proposals: three options, every time
An AI-built roofing proposal is one click from a measured roof and an inspection to a personalized cover letter and three complete packages, Essential, Performance, and Signature, each with materials, warranties, and a story, priced live by the company's own formula. At Good People Roofing this replaced two to three days of typing.
The homeowner receives a branded page with a personal note from their rep, the company's story, reviews from their own neighborhood, and every option in plain language. In the living room, the same proposal becomes a full-screen pitch deck for that exact roof. After the rep drives home, the homeowner picks a package and signs with a finger, in English or Spanish, no app and no login.
Chasing signatures went from a week to same-day. More on the proposal layer at instant roofing proposals.
The pipeline: every deal, every rep, every customer
The pipeline is a live database of every proposal, draft, viewed, accepted, or expired, with the exact roof, the package chosen, and how many times the homeowner opened it. It replaced a folder of PDFs and the question "where's that deal at?"
Three views sit on top of that database. The command center, which calls the next move on every deal. A team leaderboard with proposals sent, viewed, closed, accept rate, average ticket, and close time per rep over any window. And a customer portal, where each customer is grouped across their proposals with a private project timeline from inspection to signed to scheduled.
Where GoHighLevel ends and the build begins
GoHighLevel owns the contact, the first text, the internal notifications, and the webhook. The custom platform owns everything that requires knowing what a roof is. That split kept the CRM doing what it is good at and kept us from bending it into something it is not.
| Playbook step | GoHighLevel | Custom build |
|---|---|---|
| Lead capture and first text | Forms, ad integrations, SMS workflow | None needed |
| Intake into the quoting tool | Webhook on contact created | Builder receives it and opens a pre-filled job |
| Roof measurement | No equivalent | Satellite tracing, pitch and squares, editable |
| Proposal | Templates only | One-click cover letter and three priced packages |
| Follow-up | Timed drips | 14-day nudges that stop on signature, command center next-move |
| Reporting | Pipeline stages | Leaderboard by rep, proposal opens, customer portal |
